The Director of Operations oversees all operational functions for a rapidly growing process service and litigation support company. This role blends strategic leadership, workflow optimization, compliance, and technology integration to ensure accurate, timely, and compliant service delivery while driving sustainable growth. The ideal candidate is a proactive problem-solver who identifies bottlenecks, forecasts resource needs, and guides managers in building structured, scalable processes.
Responsibilities:
- Oversee and optimize the full lifecycle of process serving and litigation support operations, managing direct reports across Operations, Process Improvement, Client Services, and Vendor Management.
- Identify and eliminate workflow bottlenecks, gaps, and inefficiencies; implement proactive solutions to improve turnaround time, accuracy, and client satisfaction.
- Forecast, allocate, and direct resources based on volume trends, client demand, staffing, and vendor capacity.
- Partner with IT to manage system integrations, reporting dashboards, file management systems, and user access controls.
- Implement and refine workflows using innovative technology solutions to support Operations, Process Improvement, and Vendor teams.
- Provide hands-on guidance to Operations Managers to document workflows, create SOPs, and establish clear escalation protocols.
- Develop scalable policies and ensure compliance with state regulations, client requirements, and industry best practices.
- Lead, mentor, and evaluate staff across operations, client services, and vendor management, fostering a high-performing, collaborative culture.
- Oversee vendor compliance with service timelines, technology standards, licensing, insurance, and industry requirements.
- Establish and monitor KPIs to track performance, efficiency, and client satisfaction; report findings to leadership.
- Drive continuous improvement through process analysis, technology adoption, and Lean/Kaizen methodology.
- Serve as the central escalation point for operational issues, ensuring efficient communication and resolution between teams, leadership, and clients.
- Build and maintain strong client relationships, representing the company during audits, compliance reviews, and industry forums.
- Oversee staff development, including training programs, succession planning, and maintenance of training manuals.
- Ensure all business licenses, insurance, permits, memberships, and registered agent requirements remain current.
- Communicate operational health, forecast needs, and resource recommendations directly to the CEO to align operations with sales and growth strategy.
Qualifications:
- 8+ years of operations leadership experience, ideally within legal services, BPO, or logistics.
- Strong knowledge of compliance requirements for process service, litigation support, or other regulated industries.
- Proven ability to identify workflow bottlenecks, forecast needs, and implement process improvements.
- Experience with workflow automation, reporting dashboards, and technology integrations.
- Excellent leadership, communication, and team development skills.
- Strong financial acumen, including managing budgets, vendor costs, and ROI.
- Demonstrated ability to thrive in a fast-paced, high-growth environment while balancing strategic and tactical responsibilities.
