We are hiring a Case Manager to support our foreclosure and civil litigation clients. You’ll manage cases from referral through process server dispatch and final billing. This role requires strong communication, problem-solving skills, and the ability to work efficiently in a fast-paced environment.

Position Overview

We are hiring a Case Manager to support our foreclosure and civil litigation clients. You’ll manage cases from referral through process server dispatch and final billing. This role requires strong communication, problem-solving skills, and the ability to work efficiently in a fast-paced environment. This position is either Cincinnati, OH or Tampa /Florida Remote/Hybrid.

Responsibilities

  • Accurately enter new cases into our system
  • Assign and coordinate process servers based on case requirements
  • Communicate regularly with clients, vendors, and court clerks
  • Monitor deadlines and ensure service is completed timely
  • Prepare affidavits and other legal documentation in compliance with state guidelines
  • Troubleshoot service issues and coordinate reattempts if needed
  • Conduct skip traces when necessary to locate individuals for service
  • Ensure documentation is complete for case closure and billing
  • Prioritize tasks using the Unfinished Jobs Report to address exceptions and aged files

What We’re Looking For

  • 2+ years of experience in a client-facing or administrative role
  • Previous experience working with legal documents or court procedures (preferred)
  • Strong written and verbal communication skills
  • High attention to detail and accuracy
  • Ability to manage multiple deadlines and adapt to shifting priorities
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook)
  • Experience with CRM software is a plus
  • High school diploma or equivalent required; Bachelor’s degree preferred or equivalent experience

Who You'll Work With

You’ll report to the Operations Manager and collaborate closely with the Vendor Manager and CEO to ensure smooth service delivery and continuous improvement. This position is not currently supervisory, but there is potential for growth into a leadership role as the department expands.

  • Ability to sit and work at a computer for extended periods
